Invitation letter for a visa: what the host must write

How to write an invitation letter for a visit visa: who can invite you, what to include, and which documents the host should attach.

If friends or family are hosting you, an invitation letter explains the visit and who is responsible for you. Some countries also use their own official form, so check this first.

What the letter should contain

  • The host's full name, address, phone, email and ID or residence permit number.
  • The guest's full name, nationality, date of birth and passport number.
  • The relationship between host and guest.
  • The purpose of the visit and exact dates.
  • Where the guest will stay, and who pays for travel, accommodation and daily costs.
  • A statement that the guest will return home before the visa ends.
  • The host's signature and date.

What the host should attach

  • A copy of their passport, ID or residence permit.
  • Proof of address, such as a utility bill or rental contract.
  • Proof of income if they are paying for the guest.

Important

  • Some countries (for example Germany, with the "Verpflichtungserklärung") require an official sponsorship declaration signed at a local authority. A normal letter is then not enough.
  • An invitation does not guarantee a visa.
Check the official checklist

This guide is general information, not legal advice, and it does not guarantee a visa. Rules differ by country, visa type and consulate, and they change. Follow the checklist of the embassy or visa centre you apply to.
